Keeping sales packages up to date

There are a few tools in our system to help you stay on top of your data and all of the available packages you have created. We cover multiple tactics in this article. Please be sure to read the last point about Exporting Data as this is one of the most useful tools in the platform. It is advisable to do frequent checks on your stocklist to ensure that all the packages are up to date - especially the status.

Marking Packages as Sold: 

Taking unavailable packages off the market promptly should save you time and build trust with your agents, so we have made this something that could be done in seconds.


If you need to mark a package as Sold, you just click on the Sold icon in the package header. Detailed instructions explain all aspects of this here.


Please note that by marking a package as sold, any alternative packages on the same Lot will now be automatically archived. 


Archiving a Lot:

If you want to archive all packages on a given lot, you can archive the Lot. If you want to archive only one particular package, then that has to be done on the package level, as described in the section below this one. There are two ways to archive a Lot. 

  1. Go to 'Lots' > find the lot you want to archive > Click on the Lot 

  1. Go to Lots > Click on the lot you want to Archive > In the header on Lot view, click on Archive. 


How to Archive an individual Package

If you want to archive only one particular package on a lot, then that has to be done on the package level.

  1. Navigate to a package (e.g. via Packages)> click to Edit it> in the header choose 'Archived'


How to Bulk Archive Lots

If you want to archive lots of Lots in a single bulk process, you can use the 'Ops' button instead of individually archiving each Lot.

Go to 'Lots' > Check the box on all Lots you want to archive > Click on the green 'Ops' Button


This will show a pop up where you can click the first toggle to bulk archive the properties you have selected. 


Viewing available Lots:

To quickly check the status of the Lots in your platform, use the 'Refine' filter.

Go to 'Lots'> click on 'Refine' at the far right of the screen.


In this view, you can see a tally of how many Lots are 'Archived' , 'Available' , 'Sold' , 'Under Offer' etc. and you can select which you want to display on screen.


As an example, choose 'Available' only by checking the box beside it, and leaving out the rest.  On screen, you would then be able to see only the lots that are 'Available'. 


Archiving vs Deleting a Package, Lot or Project:

If you want to remove data from the system e.g. because the products are sold or no longer relevant, it is usually better to mark them as Sold or Archive them.  That way you get to keep the history in your system, if you want to run reports or review past performance data.

Another benefit of keeping the data on file is that you can use them for cloning if you get a similar package later on.  It is quicker to clone a package than to recreate it. 


Exporting data

The best way to do a review and check all the current data in your platform would be through the 'Export' function. 


Go to Packages > the green 'Export' button at the top right.


This will export all of the packages currently being displayed on the screen.


You may want to first adjust the filters to change which Projects or BDMs are selected (filters at the left of the screen) and / or which Status or other criteria are selected (filter under the 'Refine' button at the right of the screen)


We recommend you clear the left hand filters and click 'Refine' and choose the status you want to export. For example, if you want to export Available Packages only, check that Available is the only box with a blue tick.) 


As soon as you are satisfied with the filters and the packages being displayed on screen, click on 'Export'. This will generate an Excel file that will show all of the data on the selected packages.
