# Disabling Users

Deactivate user accounts while preserving their historical data and activity.

## Why Disable Instead of Delete?

Disabling a user:

* **Preserves history**: All deals, activities, and records remain intact
* **Maintains reporting**: Historical reports still include the user's contributions
* **Allows reactivation**: User can be re-enabled if they return
* **Protects data integrity**: No orphaned records or broken references

## Disabling a User

1. Navigate to **Team** in the sidebar
2. Find the user you want to disable
3. Click to open their profile
4. Click **Disable** or toggle the active status off
5. Confirm the action

## What Happens When Disabled

* User cannot log in
* User is removed from active user lists
* Existing deals remain assigned to them
* Historical activity is preserved
* User does not count toward your seat limit

## Viewing Disabled Users

1. Go to **Team**
2. Look for a filter or toggle to show disabled users
3. Disabled users appear greyed out or marked as inactive

## Re-enabling a User

1. Find the disabled user in the Team list
2. Open their profile
3. Click **Enable** or toggle the active status on
4. User can now log in again

## When to Disable vs Delete

| Scenario | Action |
| - | - |
| Employee leaves temporarily | Disable |
| Employee leaves permanently | Disable |
| Test account no longer needed | Delete (if allowed) |
| Duplicate account created by mistake | Delete (if allowed) |
| Agent relationship ended | Disable |

## Tips

* Always disable rather than delete to preserve audit trails
* Review disabled users periodically
* Document why users were disabled for future reference
* Disabled users' deals can be reassigned if needed
