Introduction
Most of this guide should be redundant to you, as the system is designed to be intuitive, but while you find your feet and get used to it, this can be a reference guide for you if you get stuck. Where you find things are not user friendly, or difficult, please give us feedback as we are continually improving our system for our customers.
We also have a help system built into the platform. You can click on the question mark at the top right of the platform and keyword search for help articles. If you find some info you need is missing, please let us know so we can update our documentation.
Preparation
Please note that this can only be done after the Library has been set up. Your Library will contain your usual
- Property designs
- Floorplans
- Options
- Facades
- Inclusions
- Commissions
- Property Flyer Template
- Property Pack Template
- Agent Portal
Kenekt will do this set up work for you, getting your data into the App. You will need to complete some actions and supply the relevant data.
If the library list above hasn't been completed, please contact Kenekt Customer Service to address each process.
Definitions
When you go to add property to Kenekt after this you will be creating
- Projects
- Lots
- Packages
These are a hierarchy, and anything at the top level will automatically apply to anything grouped within it.
In Kenekt, ‘Projects’ are for groups of lots, usually developments or estates.
Lots are each individual piece of land that you wish to sell.
Packages will be the combination of House and Land, sometimes only Land, or whatever unit you are trying to sell. You can make multiple packages per lot, if you wish to offer variations. Each of the packages provide the opportunity to specify inclusions, options, facades etc.
Adding a Project
Before you add properties, it will be helpful to set up Projects to group them. This will be the estate or development that all of the lots belong to.
Gather the Info
Before you start you will need the relevant information to hand. Below are the fields you will need. There is a template spreadsheet where you can enter lists of projects under these column headers. Look for the tab/sheet labelled Projects. You don’t have to use this template - once you are familiar with the data required you will probably find it easier to enter everything directly into Kenekt.
Project Headline | This title will show up on marketing documents |
Portal Price Headline | e.g. From $500,000 |
Marketing Categories | You can add multiple tags here, e.g. House & Land Packages (most will be this category), Apartment/Unit packages, Established Homes, FIRB Approved, Land Estate, Manage, NDIS, New Homes, Rent, SMSF Real Estate. |
Project Vendor | Primary contact for these project lots |
Land Registration Date | e.g. Registered, or a future date |
Description | e.g. a paragraph about the Project / listing. This will appear in the marketing material. |
Address: Street | An identifiable point within the estate. We need all of these 4 fields: Street Name, Suburb & Postcode, State. |
Suburb | |
Postcode | |
State |
How to add a Project
Log in to Kenekt and click on the green ‘+ Project’ button
This will bring up this New Project Creation screen, where you can enter all the key data about the project:
Using the Search Address tool at the top right will help you find a validated address and automatically populate all the other fields correctly.
Editing Projects
Once you have created a Project by saving changes on the New Project Creation screen, a header will appear. In this header you have the option to change the Project Status. You can take a Project Offline or move it back to being Available, for example. And you get 3 green tabs to navigate between the key data fields in Info, media and covenants.
In the Media tab, you can add media that is specific to the whole Project and it will carry across and be available to all the Lots and Packages that you create within that Project. You can drag photos and files to reorganise them.
Adding Lots
Next, you will want to add your land to Kenekt.
Gather the Info
Before you start you will need the relevant information to hand. Below are the fields you will need. There is a template spreadsheet where you can enter lists of lots under these column headers. Look for the tab/sheet called Lots & Packages. You don’t have to use this template - once you are familiar with the data required you will probably find it easier to enter everything directly into Kenekt.
The relevant tab in the above spreadsheet combines both Lot and Package data in one sheet. The below table shows an overview of the most important data just for Lots. There is some flexibility as some of our users enter less detailed pricing on each package, but this highlights the usual key data points.
How to add a Lot
Click on Lots in the top navigation
This page will show you all of the Lots you have in Kenekt. You can choose to apply a filter to show only Lots from a specific Project, if you wish, via the button that says ‘Select project’, but you don’t need to do this to proceed.
Click on the green ‘+ Lot’ button
CLONING
You also have the option to Clone an existing Lot, rather than creating one from scratch, if you have a similar one already in the system. You can clone Projects, Lots and Packages. It can save a lot of time if you have any very similar items. Cloning a Lot will automatically duplicate the Packages on that lot as well. You can then go in and edit a cloned lot and the packages, to modify them as required.
You will get a slight difference in the header of the Lot screen depending on whether you are starting from scratch or cloning an existing lot, but the data fields are the same.
The purple dots indicate the most important fields.
Many fields will auto populate from the Project.
Editing Lots
As soon as the lot has been saved, you will get a header across the top with some additional features to enable you to edit the lot further.
You can click on the various status icons along the top, to mark the lot as Archived and you can move it backwards e.g. to Available again, if needed.
Then there are the green tabs along the bottom of the header. The drop shadow indicates which tab you are on.
You can add any images or files at the lot level in Media. Photos are public and Documents are private. The space identified for YouTube links will also accept Vimeo links or similar hosted video services.
Most of your images are probably likely to belong to the Package rather than the Lot, but if you have something specific to the lot e.g. an illustration, map or photo of the land, then adding it to the Lot means that it will automatically apply to any package you put on that lot.
Adding Packages
Once you have finished entering the Lot info, Media and Covenants, where needed, you move to the last tab, for Packages.
Gather the Info
Before you start you will need the relevant information to hand. Below are the fields you will need. There is a template spreadsheet where you can enter lists of packages. Look for the tab/sheet called Lots & Packages. You don’t have to use this template - once you are familiar with the data required you will probably find it easier to enter everything directly into Kenekt.
The relevant tab in the above spreadsheet combines both Lot and Package data in one sheet. The below table shows an overview of the most important data just for Packages. There is some flexibility as some of our users enter less detailed pricing on each package, but this highlights the usual key data points.
Some users will not enter different prices for the features shaded in grey, for example, and just enter a single price for the build. If you do enter more of a breakdown, this enables you to mix and match these features and have the price automatically update correctly, and there will be more of a breakdown available for agents and buyers. Regardless, even if you don’t want to price those features, we will still need the names selected as they will appear on the marketing materials.
How to add a Package
NAVIGATION
There are many ways to navigate to adding a package. If you are already editing a Lot, you can click the last tab: Packages.
This should bring up buttons the options to create one of 3 types of Package, and will show any existing packages already on that lot.
- Choose ‘Building Package’ when you want to add a building design that is already in your Library.
- Choose ‘Custom Package’ when you are adding a unique design.
- Choose ‘Land Only’ for sales of the land without a build on it.
Or you can click on the 3 dots at the top right to access a drop down menu, when you are still in the Lot editing screen.
‘Clone’ in this menu refers to cloning the Lot. If you wish to clone a Package, navigate to the Packages page by selecting it from the top menu bar.
If you are on the Lots Page (which you can access by clicking Lots in the top navigation) you can click on the 3 dots at the right of the relevant lot row to access a drop down menu.
CLONING A PACKAGE
It can save a lot of time to clone packages, rather than make them from scratch, if you have similar builds planned in a neighbourhood.
If you wish to clone a Package, navigate to the Packages page by selecting it from the top menu bar. The Clone button is a blue button towards the right of the Package card.
Another way to access these Package cards is by clicking on the House icon on the Lot page. When the Lot is opened, the House icon turns into a minus sign. From here you can add a new package from any of the 3 Package buttons, or you can Clone or Edit the existing packages.
CREATING A NEW BUILDING PACKAGE
When you use any of the above ways to create a Building Package, you will get a new screen with a header you can use to change the BDM and the Status and a row of tabs to edit the features of the package.
Below that will be a default Design and a default Facade that you can alter by clicking the green buttons on the right to change them.
Navigation within this area follows the same principles as in the higher levels. Purple dots indicate the most important fields. You need to click through the tabs to enter the various types of data. The Media you upload here is specific to this level, the package level. The final tab is the most important one.
Note that the features available will in some cases depend on whether they are connected to the design. For example, if the design is single storey, you will probably only have single storey facades available. If you find a needed feature is unavailable, you may need to go into the library and make it available to the design you are working on.
